Minerva MEET is a mobile app designed and developed by Hoot Hall LLC (hereinafter referred to as “the Company” or “We”) for small groups such as families, close friends, sports teams, and hobby circles, while prioritizing privacy. 2. Information We Collect

A. Information Provided by Users
  • Registration Information: When registering, we collect profile information such as photos, usernames, email addresses, and names of authentication service providers. If you sign in via authentication service providers like Apple or Google, profile information will also be provided by these partners. Since we prioritize privacy, we do not collect information such as age, gender, or race.
  • Content: This includes messages, photos, and posts to groups that users submit.
  • Setting Preferences: This includes information related to customizable settings such as theme color.
  • Friend Code: A unique identifier shared to connect with other users.
  • Customer Support Information: For customer support, we may request contact information such as phone numbers and verify identity documents.
B. Information Collected Automatically
  • Behavior Data: We collect data on how users interact with the app.
  • Device Data: We collect device information such as language settings, location, device type, and advertising ID.
C. Payment Information

When purchasing a subscription to our services, users need to provide payment information (e.g., financial account details, shipping information). We use third-party payment providers to process subscriptions. We may receive information related to payment information such as billing addresses and transaction information from the payment providers, but we do not directly store payment information on the service. Payment information is stored and processed by our payment providers on our behalf.

D. Calendar Synchronization

Minerva MEET offers optional one-way calendar sync features that export group events to your device’s calendar. These features are entirely opt-in and can be disabled at any time.

Google Calendar Sync (Android and iOS): When you enable this feature, we request permission to access your Google Calendar through Google’s OAuth authorization. We collect and store your Google account email address (to display your connection status in the app) and a reference to the dedicated “Minerva: [Group Name]” calendar created on your behalf. Group event data — including event titles, descriptions, locations, and dates — is written to your Google Calendar. A mapping between Minerva event IDs and Google Calendar event IDs is stored locally on your device and is used solely to keep events up to date. OAuth credentials are managed by Google Sign-In and stored securely on the device. We do not use this access for any purpose other than syncing your group events.

Apple Calendar Sync (iOS only): When you enable this feature, we request permission to access your device’s Calendar app through Apple’s EventKit framework. We create a dedicated “Minerva: [Group Name]” calendar and write group event data — including event titles, descriptions, locations, and dates — to it. All Apple Calendar sync data, including calendar identifiers and event ID mappings, is stored locally on your device only and is never transmitted to our servers or stored in the cloud. This data is specific to your device and cannot be restored if you reinstall the app or switch devices.

3. How We Use Your Information

Following the principle of data minimization, we collect only the data necessary for the provision of the app and services. The collected data is used in the following ways and for the following purposes:

  • Provision and Improvement of the App and Services: We use the information to enhance the convenience of Minerva MEET for individuals and groups. For example, confirming the language settings of the device and automatically displaying the app in that language. Additionally, by analyzing usage data, we understand how users interact with the app and make improvements and fix issues.
  • Communication: We send updates, service announcements, and other information related to the use of the app.
  • Advertising and Analytics: We collaborate with advertising partners to analyze user behavior and deliver relevant ads and improve the advertising experience.
  • Calendar Synchronization: When you enable Google Calendar Sync or Apple Calendar Sync, we use your group event information solely to create and maintain corresponding events in your connected calendar. This data is not used for advertising, analytics, or any other purpose.

4. Sharing Information

  • Within Groups: Profile information, content, and behavior data are shared with other group members as part of the app’s functionality.
  • Service Providers: We may share information with third-party service providers who assist in operating and improving the app. Examples include development partners and call center partners.
  • Google LLC: When you enable Google Calendar Sync, group event data (titles, descriptions, locations, and dates) is transmitted to Google in order to create and update events in your Google Calendar. This sharing is governed by Google’s Privacy Policy (policies.google.com/privacy). We do not share any other personal information with Google through this feature.
  • Advertising Partners: We share information with advertising partners to provide relevant ads and enhance the advertising experience.
  • App Distribution Platforms: Minerva MEET is distributed through Apple’s App Store and Google’s Google Play, and we share information such as sales and download data with these platforms. For more details, please refer to the user agreements of each platform.
  • Legal Requirements: We may disclose information to comply with legal obligations, enforce our terms, or protect the rights and safety of our users.
  • We do not sell personal information to third parties. We also do not sell content or behavior data to third parties as training data for AI.

5. Data Retention

We retain personal information for as long as necessary to provide the services, comply with legal obligations, resolve disputes, and enforce our agreements.

Calendar sync configuration for Google Calendar (such as your connected Google account email and calendar reference) is deleted from our servers when you disable the sync feature or delete your account. Apple Calendar sync data is stored only on your device and is removed when you disable the feature or uninstall the app.

6. Data Storage and Security

We take the security of user data seriously and implement several measures to protect it, including:

  • Encryption: Data is encrypted during transmission and storage.
  • Access Controls: Access to personal data is restricted to authorized personnel only.
  • Two-Factor Authentication: We require two-factor authentication for accounts accessing personal data to enhance security.
  • Local Storage: Certain data, such as Apple Calendar sync information, is stored exclusively on your device and is not transmitted to our servers. You can remove this data by disabling the relevant feature or uninstalling the app.

7. User Choices

  • Access and Update: Users can access and update their personal information through their account settings.
  • Calendar Sync: Users can enable or disable Google Calendar Sync and Apple Calendar Sync at any time through the group settings screen. Disabling a sync feature removes the associated calendar configuration and stops all future synchronization. Events previously exported to your calendar are not automatically deleted and can be removed manually from your calendar app.
  • Opt-Out: Users can opt out of certain data collection and advertising settings through device preferences.

8. Children’s Privacy

Minerva MEET does not specifically collect age information and does not restrict app usage based on age. We recommend that children use the app under the supervision of a parent or guardian. If we become aware that we have collected personal information from a child without parental consent, we will take steps to delete it.

9. International Data Transfers

All information processed by us may be transferred, processed, and stored anywhere in the world, including the United States or other countries, which may have data protection laws that are different from the laws where you live.
